This Legal & Compliance Policy outlines the standards, expectations, and responsibilities required of all potential partners, collaborators, contractors, and affiliated organizations engaging with Covenant Concepts.

By entering into partnership discussions or formal agreements with Covenant Concepts, you acknowledge and agree to comply with the following requirements.

Commitment to Ethical Conduct

All partners must uphold the highest standards of ethical behavior, including:

  • Honesty, integrity, and professionalism in all interactions

  • Transparent communication and accurate representation of information

  • Avoidance of conflicts of interest or undisclosed personal gain

  • Respect for confidentiality and proprietary information

Partners must not engage in fraud, misrepresentation, discrimination, harassment, or any unlawful or unethical conduct.

Compliance with Law & Regulations

Partners must comply with all applicable:

  • Local, state, and federal laws

  • Industry‑specific regulations

  • Nonprofit governance standards

  • Data protection and privacy requirements

  • Financial reporting and accounting rules

This includes adherence to the laws of the State of Indiana and any additional jurisdictions relevant to the partnership.

Non-Discrimination & Equity Standards

Covenant Concepts is an equity‑driven organization. Partners must demonstrate alignment with our commitment to:

  • Non‑discrimination based on race, ethnicity, gender, age, religion, disability, sexual orientation, or socioeconomic status

  • Inclusive practices in hiring, service delivery, and community engagement

  • Respect for diverse communities and culturally responsive approaches

Any partner found to violate these principles may be subject to immediate termination of partnership.

Data Privacy & Information Security

Partners who access, process, or store data on behalf of Covenant Concepts must:

  • Protect all personal, financial, and organizational information

  • Use data only for approved purposes

  • Implement reasonable security measures to prevent unauthorized access

  • Notify Covenant Concepts immediately of any data breach or security incident

Partners must also comply with Covenant Concepts’ Privacy Policy and any applicable data‑sharing agreements.

Financial Security & Accountability

Partners involved in financial transactions, grant activities, or resource management must:

  • Maintain accurate, complete, and auditable financial records

  • Use funds solely for approved purposes

  • Follow all reporting requirements and deadlines

  • Cooperate with audits, monitoring, or compliance reviews

Misuse of funds or financial misconduct will result in immediate termination and potential legal action.

Intellectual Property & Branding

Partners must respect Covenant Concepts’ intellectual property, including:

  • Logos, branding, program materials, curriculum, and digital content

  • Written permission is required for any use of Covenant Concepts’ name or brand

  • Co‑branding must follow approved guidelines

Any materials created jointly may be subject to shared ownership as outlined in partnership agreements.

Confidentiality & Non-Disclosure

Partners may have access to sensitive information, including:

  • Program data

  • Participant information

  • Organizational strategies

  • Internal documents

All such information must remain confidential and may not be shared without written authorization.

Reporting Obligations

Partners must promptly report:

  • Conflicts of interest

  • Legal violations or suspected misconduct

  • Data breaches or security concerns

  • Safety issues affecting participants or staff

  • Any material changes that may impact the partnership

Covenant Concepts reserves the right to investigate and take corrective action as needed.

Termination of Partnership

Covenant Concepts may suspend or terminate a partnership if:

  • Compliance standards are violated

  • Ethical or legal concerns arise

  • Misuse of funds or resources is identified

  • The partner’s actions conflict with Covenant Concepts’ mission or values

Termination may occur with or without notice depending on the severity of the issue.

Acknowledgement & Agreement

By engaging with Covenant Concepts as a potential or active partner, you acknowledge that:

  • You have read and understand this Legal & Compliance Policy

  • You agree to uphold these standards throughout the partnership

  • You understand that compliance is a condition of continued collaboration
